HR Records and Reporting

The HR Records team plays a vital role in supporting the employee experience at Seminole State College. We maintain the official employee files, ensure accurate and timely updates to the HR system, complete wage and employment verifications, process legal name changes, guide employees through the Advanced Education compensation process, monitor leave time transferred from other Florida public institutions, and manage a wide range of required documentation.

Our goal is simple: to make your employment lifecycle at the College as smooth and well-supported as possible.

All changes for both full and part-time employee job records must be submitted via an Human Resources Action Form (HRAF).   These forms are initiated and routed for approval by the department and submitted to the HR Records team at hrrecordsteam@seminolestate.edu.

Name Changes

To effect a legal name change all of the following forms must be completed and submitted:

Address Changes

Address changes are submitted to HR Records at hrrecordsteam@seminolestate.edu using the Employee Change of Address and Telephone Number form.

Personal Telephone and Email Changes

Personal Telephone and email changes can be made using Self Service.

Earning an advanced degree is a major accomplishment—congratulations! Eligible employees may request a salary adjustment based on their newly earned degree. To begin the process, submit your documentation to hrrecordsteam@seminolestate.edu

What we will need:

  • A completed, signed application from your supervisor

  • An official transcript (must be received before any increase can be applied)

Sick Leave Time

Seminole State College allows the transfer of accumulated but unused sick leave from the following Florida public entities:

  • Other Florida community or state colleges
  • Florida Department of Education
  • The State University System of Florida
  • Any Florida district school board
  • Florida state agencies

Transfer in:  To initiate a transfer, the Human Resources department at the former institution should complete the Transfer of Accumulated Sick Leave form. Once complete, the form should be submitted to the HR Records Team at hrrecordsteam@seminolestate.edu

Important Note: Per College policy, at least 50% of the total sick leave balance at any time must be earned through employment at Seminole State College. Transferred sick leave will be credited in proportion to the sick leave earned at Seminole State College.

Transfer out: When requested, HR Records will email the unused sick leave balance to a new employer, after the employee’s last payroll is complete at Seminole State College.  

Vacation Leave Time

Per the College’s Vacation Leave Policy (Policy 2.111), full-time service at other Florida College System institutions counts toward vacation leave accrual.

To have prior qualifying service credited, the Human Resources department at your previous institution should complete the attached Vacation Earned Service Years form, verifying the length of full-time employment. Once the form is complete, it should be returned to the HR Records Team at hrrecordsteam@seminolestate.edu

Faculty must provide official transcripts by the end of the first term of employment.

Electronic Delivery

Order your transcript through your school or transcript vendor (Parchment, National Student Clearinghouse).

Important: Do not select “Seminole State College” from the drop-down menu. Transcripts sent without the specific email will go to Student Records, not HR.

Alternative Delivery

If electronic delivery is not available, you may mail your official transcript to:

NOTE: If you attended school outside of the U.S., you will need to have your official transcripts translated and evaluated by a NACES approved company, such as World Education Services or The Evaluation Company.
