Use of Artificial Intelligence (Procedure 7.2000)
Procedure
- Approved AI Tools:
Use of confidential or sensitive data, as defined in College Procedure 7.0001, is permitted only with College-approved Artificial Intelligence (AI) tools that have valid contracts and appropriate security measures in place. List of approved AI software / tools can be reviewed on the Computing and Telecom Services (CTS) confirmation webpage. If an employee is uncertain whether a tool is permitted, or cannot find it on the CTS webpage, they must submit a Helpdesk ticket requesting CTS confirmation.
All AI systems used for college business or on college devices or platforms must be reviewed and approved by the Chief Information Officer or designee via the submission of a CTS helpdesk ticket. - Use Cases:
- Academic Activities or Instructional Purposes:
- May not rely solely on AI detection tools as the basis for academic dishonesty accusations.
- May not present AI-generated content as original work. Proper citation is required in all instances where AI tools contribute to the content.
- AI-generated research must be properly cited following discipline approved formats.
- All users must verify AI-generated content for accuracy and bias before use and distribution.
- Faculty may us AI for lesson planning and engagement as far as they ensure all privacy and security guidelines are met.
- Faculty must inform students if AI is used for grading or feedback.
- AI is not a substitute for teaching and may only be used to enhance instruction.
- As a part of instruction, the instructor has discretion to assign AI associated work and this needs to be clearly defined in the course syllabus.
- A course instructor shall have discretion to decide whether, and to what extent, a student in the course may utilize AI tools for the completion of their coursework. if an instructor allows students to utilize AI tools, it shall be clearly defined in the course syllabus.
- A student violation of AI will go through the Student Code of Conduct process.
- Administrative or Operational Purposes:
- AI may assist with scheduling, reporting, and communication as far as its use ensures all privacy and security guidelines are complied according to College procedure.
- Faculty and staff must be trained in AI through a CTS professional training course or through another college approved training portal.
- AI may not be used as a final decision maker in personnel matters or operational/management decisions including employee discipline and/or evaluation.
- Compliance
- Violations may result in corrective action, and/or disciplinary action, up to and including employee termination or student expulsion. So, it remains important that the employee crosscheck AI produced results.
